FMLA eligibility runs on facts only your side holds: hire date, hours worked in the trailing 12 months, worksite headcount, and schedule. Until those arrive, the case can’t move — and the 5-business-day notice clocks are ticking behind it.
How the ask arrives
- Email with a secure form link — sent automatically when a case starts waiting on employee info. The form asks only for what’s missing.
- The “Action needed from you” panel on your Company Dashboard — click the case and complete its data-collection card.
- A direct HRIS request — sometimes the team asks for an export from your HRIS by name (Paylocity, ADP, …). Reply through the message thread.
Use the portal, not attachments. Please don’t email spreadsheets of personal data — the secure form and the case card keep everything inside the platform, logged and access-controlled.
Turnaround matters more than polish: a same-week response keeps the employee’s notices on time. If a number is an estimate, say so in the notes — the team would rather have a flagged estimate today than a perfect figure next week.
