Using the File Vault
Upload, organize, and download your company's documents in the secure File Vault, with categories and a 100 MB per-file limit.
The File Vault is secure storage for your company's documents inside My HR Portal. Its purpose is simple: securely upload, manage, and organize your documents so the right file is easy to find when you need it.
This guide covers the categories the vault uses, how to upload, download, and delete files, the file size limit, and the special HR Audit Documents checklist.
The Six Categories
The vault sorts your files into six categories so related documents stay together:
- HR Audit Documents
- General
- Benefits
- Compliance
- Onboarding
- Payroll
Choosing the right category when you upload keeps the vault tidy and makes documents quicker to locate later.
Uploading, Downloading, and Deleting
Within each category you can manage your files directly. The vault supports three core actions.
- Upload a document to add it to a category.
- Download a document when you need a copy.
- Delete a document you no longer need.
Because the vault is shared across your company, files you upload are visible to your colleagues, and files they upload are visible to you. Keep that in mind when adding or removing documents.
The 100 MB File Limit
Each file you upload can be up to 100 MB. That is generous for typical HR documents like handbooks, forms, and templates. If a file is larger than 100 MB, you will need to reduce its size or split it before uploading.
Secure Storage
Your documents are stored securely. The vault uses secure, presigned storage, which means files are kept in protected cloud storage and access is handled through short-lived, signed links rather than open public URLs. Your company's documents stay private to your company.
The HR Audit Documents Checklist
The HR Audit Documents category does something the other categories do not. It shows a checklist overlay of the documents required for your HR audit.
This checklist makes it clear which audit documents you have already provided and which are still outstanding, so you can see your progress at a glance while you work through the vault. As you upload the required documents into this category, you can track what is left.
Tips for Keeping the Vault Organized
A little structure goes a long way. To keep your vault easy to work with:
- Place each document in the category that best fits its purpose.
- Use clear, descriptive file names so colleagues can recognize a document at a glance.
- Remove outdated files so the vault reflects what is current.
Is there a limit on how many files I can store?
The documented limit is on individual file size, which is 100 MB per file. Keep each file under that size and organize uploads into the appropriate category.
Can my colleagues see the files I upload?
Yes. The vault is scoped to your company, so everyone at your company shares the same vault and can see the files in it.
What is the HR Audit Documents category for?
It is the home for documents your HR audit requires, and it adds a checklist overlay so you can see which required documents are in place and which are still needed.
